Mission


The IT Contract Manager will manage all Department contract-related activities (contract awarding, contract negotiation, drafting and signature, as well as contract monitoring including renewals, amendments and termination).


Main responsibilities


Acts as focal point in the Department for all contract management activities; is responsible for tracking and monitoring contracts across their lifecycle;


Provides timely reporting on contracts including KPIs;


Ensures timely engagements and use of appropriate legal instruments;


Works closely with and acts as focal point for the Legal Department for all IT contract management related activities; reviews Technology and Information Department (DTI) contracts before they are submitted for legal review;


Works with other DTI staff in assessing cost saving efforts across projects and suppliers; makes recommendations; takes initiative in re-negotiating contract terms;


Supports other DTI colleagues in contract negotiations with suppliers, as required;


Manages the day-to-day contract management in CLM (Contract Lifecycle Management) tool:  approval of new requests, following up existing contracts, monitoring and managing renewals, following up approval signatures;


Identifies training needs and coordinates training for staff on the use of the CLM tool as well as in contract negotiations and contract management, as appropriate;


Documents internal processes for contract management; identifies areas for improvement, makes recommendations and communicates changes to the Department and external stakeholders, as necessary;


In collaboration with the Legal Department, reviews and improves contract templates, in particular, Statements of Work and Service Descriptions;


Mentors and assists other DTI colleagues in contract and vendor management activities; reinforces best practices, as necessary.


Education; language and IT competences


Bachelor’s degree in a technical discipline, legal or other business related field;

Masters or MBA a plus.

Minimum 5 years’ experience in contract management, preferably working with and negotiating complex contracts and pricing structures for IT hardware, software, and services.


Proficiency in English and French (both written and oral).


Command of Word, Excel and PowerPoint;


ERP and SharePoint desirable.
