
Mission
The Personal Assistant will provide high-level support to the Digital Engagement Director and assist the Department’s senior managers/managers with administrative tasks.
Main responsibilities
High-level support for the Director:
Manage the Director’s emails, contacts and agenda priorities
Prepare the Director’s meetings, including documents and other supporting material.
Liaise with the Director during absences and manage priorities.
Manages current files autonomously, showing a sense of initiative
Bring support for the preparation of commissions and committees
Provide support for delegated projects and activities.
Manage the Department’s institutional matters:
Supports the Department with processing and managing budget, orders and invoices
Compiles, formats and writes notes, reports, minutes and various correspondence for the Department
Assists with monitoring the Department’s contract and procurement management
Provide with functional support in general administration for the whole Digital Engagement department
Digital initiatives
Managing calendar and coordinate of IOC teammate digital education programme, eg Lunch A& Learn programmes
Support coordination of improving IOC teammates knowledge base of IOC digital initiatives
Education; language and IT competences
Executive-secretary training with minimum 5 years’ experience as an executive assistant in an international environment.
Excellent drafting skills in English (drafting skills in French would be an asset)
Excellent command of Microsoft Word, Excel, PowerPoint and SharePoint
Digital savvy is an assetGood IT skills in general
